Two different relationships matter. WrenchRelay handles account and billing information for its own business operations. For caller information submitted through a shop’s WrenchRelay account, the shop generally decides why and how that information is used, and WrenchRelay processes it to provide the service.
1. Scope
This Privacy Policy describes how AzVa Enterprises LLC, doing business as WrenchRelay (“WrenchRelay,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with our websites, shop dashboard, automated voice intake, notifications, support, billing, and related services (collectively, the “Service”).
This policy applies to shop owners, employees, authorized users, website visitors, people who contact us, and callers whose calls are handled through WrenchRelay. It does not govern a repair shop’s independent privacy practices, customer records, repairs, marketing, or follow-up after information is delivered to the shop.
2. Our role and the shop’s role
For shop-account registration, billing, security, service administration, support, and our own legal obligations, WrenchRelay determines the purposes and means of processing and acts as a business or controller, as those terms may be defined by applicable privacy law.
For caller information, call content, transcripts, summaries, and workflow data processed on a subscribing shop’s behalf, the shop generally acts as the business or controller and WrenchRelay acts as its service provider, contractor, or processor. Our Data Processing Addendum describes that relationship in more detail.
Callers should ordinarily direct questions about a repair shop’s use of their information to that shop. We will assist the shop with applicable requests as required by law and contract.
3. Information we collect
Shop and account information
- name, business name, email address, telephone number, and role;
- login identifiers, authentication records, account permissions, and security events;
- shop location, time zone, business hours, call-handling preferences, and configuration;
- assigned WrenchRelay telephone numbers and call-forwarding configuration details; and
- support communications, feedback, and account-administration records.
Caller and call information
- incoming telephone number and other call-routing metadata;
- call audio, recordings, transcripts, timestamps, duration, and connection details;
- caller name and confirmed callback number;
- vehicle year, make, model, and other vehicle information voluntarily provided;
- service requests, symptoms, preferred timing, status questions, and business messages;
- record-associated names, such as the name under which a repair or account may be listed;
- automated summaries, classifications, extracted fields, confidence signals, and workflow status; and
- shop notes, follow-up outcomes, and account-user activity related to the call.
Billing and transaction information
We collect subscription plan, price, invoice, payment status, tax, and Stripe customer or subscription identifiers. Stripe processes payment-card information. WrenchRelay does not receive or store complete payment-card numbers or card security codes.
Device, website, and service information
- IP address, browser type, device type, operating system, and approximate location;
- pages viewed, requests, timestamps, referral data, and application interactions;
- session cookies and authentication tokens;
- diagnostic logs, error reports, performance data, and security signals; and
- email delivery, bounce, complaint, and notification status when available.
WrenchRelay is not intended to collect Social Security numbers, full payment-card numbers, account passwords, medical records, or other highly sensitive personal information through calls. Shops and callers should not provide that information unless WrenchRelay has expressly authorized a specific secure workflow in writing.
4. Sources of information
We collect information from:
- shop owners, account users, and callers;
- telephone carriers and communications providers;
- the automated WrenchRelay voice interaction and generated analysis;
- Stripe and other billing providers;
- service providers that host, secure, deliver, or support the Service;
- cookies, logs, and application activity; and
- public or business records when needed to verify a shop or prevent fraud.
5. How we use information
We use personal information to:
- create and administer shop accounts and authorized-user access;
- route and answer forwarded calls;
- disclose that the caller is interacting with an automated assistant;
- record, transcribe, summarize, classify, and extract call details;
- display call information in the shop dashboard and send configured notifications;
- provide support, troubleshoot problems, and respond to requests;
- process subscriptions, invoices, payments, taxes, and account cancellations;
- secure the Service, detect abuse, investigate incidents, and prevent fraud;
- monitor reliability and improve call flows, extraction, usability, and performance;
- enforce agreements and protect the rights and safety of callers, shops, WrenchRelay, and others;
- comply with law, court orders, and valid governmental requests; and
- create aggregated or de-identified information that cannot reasonably identify a person.
We do not use caller information to make decisions that produce legal or similarly significant effects about the caller. WrenchRelay’s classifications and summaries are intended to organize a message for shop review, not to determine eligibility, credit, employment, insurance, warranty coverage, or legal rights.
6. Automated processing and artificial intelligence
WrenchRelay uses automated and AI systems to conduct voice intake, convert speech to text, identify information supplied by the caller, classify the purpose of the call, and prepare a summary. These outputs may be inaccurate or incomplete and are provided to the shop for human review.
We may use call and service data to evaluate quality, troubleshoot failures, prevent misuse, and improve the Service as permitted by our agreement with the shop. We do not sell caller conversations or use them for third-party targeted advertising.
7. How we disclose information
To the subscribing shop
Caller information, recordings, transcripts, summaries, and call records are made available to the shop and its authorized users. The shop controls what it does with the information after receipt, subject to its own legal obligations.
To service providers
We disclose information to providers that perform communications, voice AI, hosting, database, authentication, email, billing, security, support, and infrastructure functions. Current core providers include Twilio, ElevenLabs, Supabase, Vercel, Resend, Stripe, and telecommunications carriers. These providers process information under their contracts and applicable law.
For legal, security, and safety reasons
We may disclose information when we reasonably believe disclosure is necessary to comply with law or valid legal process; protect rights, safety, or property; investigate fraud, abuse, or a security incident; enforce agreements; or respond to an emergency involving danger of death or serious physical injury.
Business transfers
Information may be disclosed in connection with financing, due diligence, a merger, acquisition, reorganization, bankruptcy, or sale of some or all of the business, subject to appropriate confidentiality and legal protections.
At the shop’s direction
We may disclose information to integrations, recipients, or other parties when an authorized shop user directs us to do so.
8. No sale or targeted advertising
WrenchRelay does not sell personal information for money. We do not share caller information for cross-context behavioral advertising or use it to serve targeted advertisements. We do not permit service providers to use Customer Data for their own advertising.
10. Data retention
We retain information for as long as reasonably necessary to provide the Service, maintain the account, meet the shop’s documented instructions, secure and improve the Service, resolve disputes, enforce agreements, and comply with legal, accounting, tax, and regulatory duties.
Call content and associated records are generally retained while the subscribing shop’s account is active and for a limited period afterward for export, recovery, security, and legal purposes, unless a contract or configured retention setting provides otherwise. Billing, consent, audit, fraud-prevention, and legal records may be retained longer. Backups may persist for a limited period before being overwritten or deleted.
We may retain aggregated or de-identified data that cannot reasonably identify an individual.
11. Security
We use administrative, technical, and physical safeguards designed to protect personal information based on the nature of the information and the Service. Measures may include encryption in transit, provider access controls, authentication, role-based permissions, logging, backups, secret management, and incident response procedures.
No system is completely secure. Shops are responsible for protecting their credentials, limiting authorized users, securing devices, and promptly reporting suspected unauthorized access to support@wrenchrelay.com.
12. Privacy rights and choices
Depending on where you live and the law that applies, you may have rights to request access, correction, deletion, portability, or information about processing, and to appeal a denied request. Because WrenchRelay does not sell personal information or use it for targeted advertising, opt-out rights related to those activities generally do not apply to our current practices.
Shop owners and account users
Contact us at support@wrenchrelay.com to request access, correction, or deletion of account information. Some information can be updated through the Service. We may retain information required for billing, security, fraud prevention, disputes, or legal compliance.
Callers
The subscribing shop generally controls caller information. A caller should first contact the shop that received the call. The shop may then instruct WrenchRelay to locate, export, correct, or delete information. A caller may also contact us and identify the shop, approximate call date, and callback number so we can route the request appropriately.
Verification and appeals
We may verify identity and authority before acting on a request. We may deny or limit a request where permitted by law, including when we cannot verify the requester, the information is needed to protect security or legal rights, or WrenchRelay is acting solely on a shop’s documented instructions. Requests to appeal a decision may be sent to support@wrenchrelay.comwith the subject “Privacy Appeal.”
13. Call recording and consent
Calls handled by WrenchRelay may be recorded, transcribed, and analyzed. The automated assistant is designed to disclose that it is automated and that recording or transcription may occur. Continuing the call after the disclosure may constitute consent where permitted by law.
Recording and consent requirements vary by jurisdiction. The subscribing shop is responsible for determining whether additional notice or consent is required and for configuring and using the Service lawfully. Callers who do not wish to be recorded or transcribed may end the call and contact the shop through another available method.
14. Children
The Service is intended for businesses and is not directed to children under 18. We do not knowingly allow children to create shop accounts. A call may incidentally concern a minor or be placed by a minor, but shops should avoid collecting unnecessary information about children. Contact us if you believe a child has provided personal information inappropriately.
15. United States service and processing
WrenchRelay is operated from the United States and is currently intended for United States businesses. Information may be processed and stored in the United States and other locations where our providers operate. Those locations may have privacy laws different from the laws in the place where the information originated.
16. Changes to this policy
We may update this Privacy Policy to reflect changes in the Service, providers, law, or our practices. We will post the updated version, change the effective date, and provide additional notice when a change is material and notice is required.
